This privacy policy sets out how Virginia Sherborne uses and protects any information that you give when you use this website.

What Virginia collects

  • If you make an enquiry from this website or call her, she may collect the following information:
  • Name and contact information including email address and phone number
  • Demographic information such as postcode or date of birth
  • Information relevant to understanding your needs so she can provide you with a safe service

What Virginia does with the information she gathers

This information is processed for the following reasons: to arrange appointments, to ensure she offers you a suitable service and for internal clinical record keeping. If you make an enquiry via this website or phone, she holds these details for one month to allow her to process your enquiry and provide you with a suitable service. 

If you intend to attend a consultation, your details become part of your clinical record and are kept until you leave her service. 

Virginia deletes your information a month after received if she has not heard from you or is not able to give you an appointment at this time.

If at any time she becomes concerned about your or other’s safety, she may need to break confidentiality to keep people safe in line with her statutory and professional obligations.

Virginia Sherborne stores clinical records using handwritten documents and Microsoft 365 applications. Handwritten notes are stored in a locked cabinet. Virginia communicates with clients via aol email (https://legal.aol.com/privacy/index.html?locale=en-us) and text messages/phone calls. Online counselling sessions are conducted via Zoom (https://www.zoom.com/en/trust/gdpr/). She does not use Artificial Intelligence in her practice.

Once you arrange an appointment, you will receive a document explaining Virginia’s data protection policy.

Security

Virginia is committed to ensuring that your information is secure. To prevent unauthorised access or disclosure, suitable physical, electronic and managerial procedures are in place to safeguard and secure the information collected. Virginia uses trusted software for banking (www.co-operativebank.co.uk/help-and-support/your-details/privacy-cookie-policies/). Client details are not uploaded to her accounting software. Accounting records are kept on a password protected device and/or stored in a locked cabinet. Further information regarding data security is available on request and in the pre-therapy document issued before you attend a session.

Controlling your personal information

Virginia Sherborne will not sell, distribute or release your personal information to third parties unless she has your permission, is concerned for your safety or the safety of others including children or is required by law to do so.

Virginia Sherborne does not seek to identify any visitors to this site.

Virginia is committed to working with you to deal with any concerns you have about your personal information.
